System management support for process-oriented standards

Document control systems usually add work. They don't make quality work easier, they force an inefficient way of documenting it.

A document management support that supports controlled documentation is often used to to manage the quality management system. It is effectively a DMS, but it does not support processes. It is effectively a DMS, but it does not support processes. In addition, it requires all procedures, protocols and records to be in documents.

General standards that the task and process management system is important for:

ISO 9001 – General Quality Management System

ISO 9001 is the most common process-related standard of the quality. Unfortunately, the ISO 9001 standard is only a cost for paper for many companies. They do not change internal processes and personal sense of quality. Nevertheless, the ISO 9001 is a great standard that perfectly helps, when correctly implemented. It requires:

  • Quality management is default part of each process
  • Quality-first approach is the mindset of each person
  • Each activity is clearly stated in terms of what it means to be done correctly
  • Company evaluates quality, efficiency and productivity fro each process

The goals need workflow system that automates controls, collect data and leads each person to follow the work procedures and standards.

ISO 20000 – IT Service Quality Management

ISO 20000 is must-to-have standard for each service-oriented company. Although it is originally defined for IT sector, it is widely adopted as a standard in other businesses too.

The standard requires that activities are closely monitored, data are collected to evaluate service delivery and services are regularly verified. The task management system is the key tool ensuring that activities are defined, planned, performed, monitored and evaluated.

The ISO 20000 without appropriate WfMS shall never be functional except for very small business. WfMS ensure that tasks are operated correctly, provides tools to monitor and control the quality. Without these skills, the standards remain on paper.

ISO 27000 – Information Safety Management

The ISO 27000 standard deals with security, and in particular contains rules for securing facilities. It is therefore not primarily process-oriented.

There are several system-type requirements defined by the ISO 27000 standard that AyMINE fulfills:

  • Dealing mainly with manufacturing × Dealing mainly with development

Manufacturing is mainly addressed by IATF 16949, but mostly also by manufacturer-specific TFP. In terms of importance and contribution of system support, ISO 16949 is on a par with ISO 9001.

The most common general standards are ISO 26262, ASPICE, or VDA 6.3.

All automotive standards requires task management system. The WfMS is obligatory for ISO 26262 and by-default expected by other standards. However, level of support required by these standards are for higher than a common WfMS or Requirement Management. The standards requires:

  • Precise control of relations between tasks, people and managed records (mostly requierments and other products)
  • Traceability between all records, not only requirements
  • Large cohort of objects: tasks, requirements, bundles, competencies, problems, tests, test results, quality records including peer reviews, opportunity management etc. Totally, the list has more that 50 objects.
