Reminders and Messages
Reminders are quick messages typically linked with related object se that user have direct context of the reminder.
Main differences of email notifications:
- Notifications are always to one person, it is not possible (as opposed to emails) to send one notification to multiple people – the purpose of notifications is to replace emails to many people, in particular, that notifications sent from objects can be traced back to them later. There is therefore no reason to send them for information to third parties.
- If notifications are linked to a particular record (mostly), they are seen by everyone who sees that record. Even if they are addressed to another, they are not hidden. Anyone who works with the record can see the details of the discussion that took place on it
- Notifications pop up automatically when the addressee opens the detail of the record. There is therefore no risk that the record will be worked on and missed.
Don't overlook: Records are also linked to discussions and notes. They allow you to reach more people and are part of a long-term archive.
How to send notifications
Notifications from a record
Most records (e.g. tasks, requests, orders, etc.) have a button in the top-right corner of the detail to view and send notifications. When you press it, you will be presented with a list of notifications sent and the possibility to send a new one.
Notifications without a link to a record
You can also send notifications that are not linked to a specific object (e.g. a lunch invitation 😊). This is done by the New Message button in the notification block on the desktop.
Privacy: If you send a notification to a user (directly from the main desk), it is strictly private and no one but reminders can read it. (This is different from a notification for a record, where others who work with it can see it.)
Receiving notifications
You receive notifications directly on the desktop in the @rSVG block. Even if you have a block hidden, the icon changes so that you don't miss the notification. If you have message forwarding enabled to the system (e.g. Chrome supports messages from the toolbar on your mobile), you will also see notifications among other notifications.
If you have an app installed on your mobile, you will also get notifications in the notification bar (the app is currently available for Android devices). If you enable messages from your browser in windows, notifications will pop up in the notification bar and in the lower right corner.
An open notification has 2 tabs – the notification itself and on the second tab the object that is affected by the notification. You therefore have the option to look directly at what the sender notifies you.
How to remove notifications?
Notifications are not removed manually. They stay with the records as records of communication. They are removed automatically a year after the object ceases to be active. Therefore, you can easily use the notification to find out who sent whom to the object.
Manually, you can only remove notifications that are not linked to a business record (i.e. typically an asset, a product, a task, a project, etc.). If someone sent you a message directly from the main desktop, you can delete it. If the recipient to whom you sent the message deletes the message, you will see it deleted for 3 more days and then it will be deleted definitively.
Sending an alert to an email
If you don't read the alert in the system, AyMINE will send it to your email so that you don't miss it. In the settings, you can choose how long it will take for the alert to arrive. For example, if you set 1 minute, it will add you basically right away.
Recommendation: If you work with AyMINE regularly, we recommend that you set the forwarding to a larger interval – saving you unnecessary double reading.
If you write to someone who you know doesn't read the messages in AyMINE regularly, you can set the alert to be sent directly to an email.
Messages sent to an email are still considered unread, but they store the information when they were sent to the email.
New task from reminder
In the notification overview, you can directly use the Do Task create a new task button to copy the message content or the new request. Look at the use case to change product to see why the notification is easy to make a request.
If tha reminder has been translated for you, the task is created from the translated message. The original text is not copiered in that case.
Notes about reminders
- Notifications sent from an object are by default visible to everyone who has access to the object. If you want only the recipient to see it, they must mark it as private.
- Have you received a message for an object and can't view it? (The tab for the object is empty?) This is not a system error, but a colleague sent you a message for an object you do not have permission to. Be sure to let your colleague know that you cannot respond adequately to his/her reminder!
